I plan and coordinate every moving piece of your retreat — from venue research and vendor management to attendee communications and a complete run-of-show — so that by the time retreat day arrives, everything is handled and you can just show up and lead.
A five-day retreat with two travel days requires roughly 120 hours of behind-the-scenes coordination. Those are 120 hours you didn't have to spend.
I’ve been planning events since 2007 and received my certificate from The International School of Hospitality in Conference and Event Planning in 2013. I spent 8 years planning 10+ events per year for YPO Park City. I’ve done corporate incentive trips for Lucid Software and Colliers International. And a luxury retreat that had so many moving pieces, attendees had no idea anything was happening behind the scenes, because it all ran seamlessly.
TIER 1 — THE BLUEPRINT
Planning Only: Best for: hosts who have a team or assistant who can handle day-of execution.
I take care of all the planning — you (or your team) take it from there.
Includes:
Kickoff strategy session to align on vision, format, and goals
Venue research and booking coordination
Vendor sourcing, communication, and contract tracking (catering, AV, activities, transportation, facilitators)
Budget template and ongoing tracking
Complete run-of-show and event timeline
Attendee communication templates — confirmations, pre-retreat info, day-of instructions, packing lists
RSVP tracking, waivers, and special needs coordination
Weekly 30-minute check-ins throughout the planning period
Final handoff package and debrief call so your team knows exactly what to do
Investment: $1,800- $2,800
TIER 2 — THE SETUP SUPPORT
Planning + Virtual Setup Day
Best for: hosts who want to be completely free on setup day — no vendor calls, no last-minute coordination.
Everything in The Blueprint, plus:
I'm your virtual command center on setup day
I manage vendor arrivals, timing, and real-time troubleshooting — you're not fielding a single logistics call
I serve as the point of contact for all behind-the-scenes coordination so you can focus on preparing to lead
You walk into retreat day with zero loose ends
Investment: $2,800 – $3,500
TIER 3 — THE FULL HANDOFF
Planning + On-Site Partner
Best for: hosts who want true done-for-you — someone physically present so you're 100% free.
Everything in The Blueprint, plus:
I source, vet, and manage a local on-site coordinator for the duration of your retreat
Full briefing, run-sheet, and day-of instructions for your coordinator — they're an extension of me, on the ground
I remain virtually available throughout the retreat for any decisions or adjustments
Post-event wrap report and debrief
Investment: $4,500 – $6,500
(On-site coordinator cost quoted separately based on location and retreat length.)
